Position Overview
Kicking Horse Culture (KHC) is seeking a Program Coordinator to play a vital role in planning and delivering our annual winter festival, alongside other flagship community arts initiatives. These include the Christmas Craft Fair, Summer Kicks, Live Kicks, Volunteer Appreciation, Gallery Exhibit Openings, and Workshops.
We’re looking for a creative, organized, and self-motivated individual who thrives in fast-paced environments with many moving parts. This role involves managing event logistics, coordinating volunteers, and organizing community arts workshops, all while fostering engagement and connection through KHC’s programs.
A key responsibility of this position includes managing KHC’s social media presence, using digital platforms to promote programs, events, and community engagement. The ideal candidate is adaptable, innovative, calm under pressure, and brings a solutions-oriented mindset to challenges.
This position offers room for growth, with the opportunity to take on a larger role in developing, planning, and facilitating arts workshops for the community, supported by successful grant writing efforts.

Key Responsibilities
- Winter Festival Coordination:
- Support the planning and execution of our annual Winter Festival, including managing schedules, venues, and materials.
- Coordinate volunteers to assist with festival operations and ensure they feel supported and valued.
- Collaborate with artists, performers, and stakeholders to deliver a memorable and meaningful community event.
- Remain adaptable and calm under pressure, troubleshooting issues as they arise.
- Volunteer Management:
- Recruit, train, schedule, and oversee volunteers.
- Foster strong relationships with volunteers, ensuring they are engaged and appreciated.
- Social Media and Communications:
- Manage KHC’s social media platforms, including content creation, scheduling, and monitoring engagement.
- Promote programs, events, and workshops with engaging posts, graphics, and stories.
- Develop and implement social media strategies to increase community awareness and participation.
- Respond to comments and messages, fostering a positive and interactive online presence.
- Collaborate with team members to ensure brand consistency and effective communication.
- Grant Writing and Reporting:
- Research, apply for, and secure grant funding to support community arts programs and workshops.
- Prepare reports and manage grant deliverables to meet funding requirements.
- Community Arts Workshops Development:
- Plan, organize, and facilitate arts workshops for the Golden community, incorporating diverse art forms.
- Collaborate with local artists and educators to develop workshop content and engage participants.
- Build relationships with community organizations to broaden program reach and impact.
- Meeting Facilitation and Administration:
- Organize and facilitate meetings with volunteers, committees, and community partners.
- Prepare agendas, record minutes, and follow up on action items.
- Creative Problem-Solving:
- Address challenges with resourcefulness and a proactive mindset.
- Contribute innovative ideas to enhance programming and events.
- General Administrative Duties:
- Support budgeting and expense tracking for EmberFest and workshop programs.
- Ensure compliance with organizational policies and funding requirements.
- Assist other team members as needed.
Qualifications and Skills
- Required:
- Proven experience in event coordination, program planning, or volunteer management.
- Strong organizational skills with the ability to manage multiple priorities and deadlines.
- Excellent communication and interpersonal skills.
- Grant writing experience or willingness to learn.
- Proficiency in office software (e.g., MS Office, Google Workspace) and social media platforms.
- Creative skills in content creation, including writing, graphics, or video editing for social media.
- Preferred:
- Experience in the arts or non-profit sector.
- Familiarity with facilitating workshops or community engagement initiatives.
- Creative problem-solving and adaptability in high-pressure situations.
